How to tender

After receiving a business case and specification from the internal business area, Procurement Unit will prepare the Invitation to Tender (ITT) and will agree a list of suppliers to invite.

The ITT package will usually consist of:-

  • The covering letter;
  • The ITT document;
  • The price schedule;
  • Intellectual Property Office Terms & Conditions; and
  • A tender return label for your submission.

The ITT documents will clearly explain how to write and compile your tender. However, if you have any questions, the named contact will be happy to help you.

After a fair and thorough evaluation, the Intellectual Property Office may invite you to a clarification meeting to explain selected parts of your proposal tender which will help us make the final choice.

Unsuccessful tenderers

If your bid is unsuccessful we will try to offer some constructive feedback as to why we thought your proposal was not the best offer on this occasion, within the limits of commercial confidentiality. This feedback is usually provided by letter or telephone, but in some instances can be done in person. The aim of this feedback is to help you understand where we considered areas of your proposal to be weak, and how this can be improved upon next time.
